• Tenders are invited for Travel Agents for a Period of One Year Subject to Renewal for the Next Years Based on Quality and Timely Delivery of Purchased Tickets for the Routes Requested Travel Agent: Plan Auto Want to Select and Enter in to Contract with One Best Qualified and Competent Travel Agent OBJECTIVE The objective of this bidding process is to select and enter into to contract with one or two best qualified and competent Travel Agents for a period of one year subject to renewal for the next years based on quality and timely delivery of purchased tickets for the routes requested. TRAVEL POLICY Plan AULO air travel policy requires the Travel Agent in all cases to book the lowest available fares and to search alternate available itineraries in order to provide the lowest appropriate fares with a convenient route, transit time, and connection flight time, which satisfies Plan AULO travel policies and requirements. Where available, use of the lowest applicable fare (including penalty fee: cancelation, change of date and time, and no-show fee) is the preference The flight fare and the ticket should be full economy fare/ticket as Plan AULO guests, partners, donors, staff, etc. are not allowed to fly business class. Business class travel or equivalent may be applicable only based on Plan AULO special need & confirmation. Travel regulations prohibit first-class travel except for Plan AULO's special request. SCOPE OF WORK The travel agent shall provide full, prompt, and accurate domestic and international travel services to Plan AULO staff and guests. The Agent shall provide travel services from 8:00 AM to 6:00 PM during working days. In addition, the Travel Agent shall provide a contact number, for emergency services, services on weekends, and official holidays where required. The services include, but are not limited to, the following: Reservation and Ticketing For every approved trip, the travel agent shall immediately offer appropriate and alternative itineraries based on the lowest fare and the most direct and convenient routing, In the event that the required travel arrangement is delayed to confirmed or fails to confirm the booking within the required time, the travel agent shall notify Plan AULO of the problem and present a minimum of three (3) alternative routings/quotations for consideration. For wait-listed bookings, the travel agent shall provide regular updates every six (6) hours on the status of the flight until getting the confirmed seat for the waiting-list bookings. Travel agent shall reconfirm and revalidate airline tickets, and re-issue tickets which are returned as a result of changed routing or fare structures and printed itineraries. Travel agent shall promptly issue and deliver accurately printed tickets and detailed itineraries (printed and electronic format) showing the accurate status of the airline on all segments of the journey. Travel agents shall provide information on airline ticket schedules. The travel agent shall provide a dummy ticket for visa application purposes based on the request made The Travel Agent shall not favor any particular carrier when making reservations and shall maintain excellent relations with all air carriers; For flight delay or departure time or date change, the Travel Agent should inform the traveler and the organization's focal person all-time Travel agent shall assist Plan AULO travelers on the online onboarding process upon request Bid closing date: 8th of September 2023 at 12:00 p.m. EAT (6:00 p.m. local time) Bid opening date: No Specific Opening Date and Time Region: Addis Ababa
